Cash Receipts - Apply Payment

Description:

Use this screen to apply customer payments and make adjusting entries for a cash receipts batch.

 

Click a link to advance to that section of the topic.

 

 

Navigation

Access this screen by entering payment and customer information on the Cash Receipts - Batch Detail screen, and then pressing Enter.  Use the filters above the columns to focus the list on the invoices you want to work with.  Apply the document amount to one or more invoices; enter adjustments if applicable; and if necessary, apply any remaining balance as ROA (receipt on account) for the customer.

 

Once the Remaining Amount is 0.00 (the Document Amount and the Applied Amount match), press F10 to complete the payment application and return to the Cash Receipts - Batch Detail screen to enter the next customer payment.

Options

Option

Description

1

Search.  Enter 1 in the Option field to access the A/R Adjustments Code Look-up popup window to search for and select an adjustment code to use for the invoice.

X

Full.  Enter X in the Option field to pay that invoice in full from the document amount.  The Amount field to the right is automatically populated with the full amount owed on the invoice.

P

Partial.  Enter P in the Option field to partially pay that invoice from the document amount.  Enter the partial pay amount in the Amount field.

A

Multiple Adjustments.  Enter A in the Option field for multiple invoices to access the Cash Receipts Adjustments popup window and enter adjustments for those invoices one after the other.

PA

Partial Adjustment.  Enter PA in the Option field to access the Cash Receipts Adjustments popup window and partially adjust the invoice balance.

Display.  Enter 5 in the Option field to display the invoice in Display Contract Customer Information.

6

Reprint.  Enter 6 in the Option field to reprint the invoice.  You can enter 6 for multiple invoices, and they will be printed consecutively.

Fields

Status

Displays the current status of the customer.  Valid status codes include:

 

Invoice Currency

Enter the code for the currency of the invoice if it is different from the Document Currency.

 

Invoice Pay Code

Enter an invoice payment method code to filter the list of invoices.

 

If the Dft doc PCod to inv PCod field is set to Y in the ARCSH3 control record, this pay code defaults from the pay code entered for the document, and that produces a subset of invoices for that pay code only.

 

Invoice Summary Number

If applicable, this field displays the number of the invoice summary for which you are processing payment.

 

Customer Number

Displays the number of the customer for whom you are processing payment.

 

Phone Number

Displays the customer's phone number.

 

Batch Number

Displays the number of the cash receipts batch.

 

Document Number

Displays the number of the document/check that you entered on the Cash Receipts - Batch Detail screen.

 

Document Amount

Displays the document amount that you entered on the Cash Receipts - Batch Detail screen.  Depending on your user security settings, you might be able to change this amount here.

 

Document Pay Code

Displays the pay code for the batch that was entered on the Cash Receipts - Launch screen.

 

Document Currency

Displays the currency for the batch that was entered on the Cash Receipts - Launch screen.

Applied Amount

Displays the amount that has been applied to invoices.  This is automatically calculated as you apply the document amount to one or more invoices.

 

Open

Indicate whether you want to list open invoices.  The default is Y.

 

Paid

Indicate whether you want to list paid invoices.  The default is N.

 

Remaining Amount

Displays the amount that has not yet been applied to invoices.  This is automatically calculated as you apply the document amount to one or more invoices.

 

Invoices

 

Amount

Enter the amount of a partial payment when using option P.  When using option X, the amount is automatically populated and cannot be changed.

 

Invoice Number

Displays the number of the customer invoice.

 

Date

Displays the date that the invoice was created.

 

Status

Displays the current status of the invoice.

 

Location

Displays the location that initiated the invoice.

 

Currency

Displays the currency of the invoice.

 

Balance

Displays the amount owed on the invoice.  If this is a negative number, the amount is a credit to the customer.

 

Original Amount

Displays the original amount on the invoice.

Function Keys

Function Key

Description

F1

Help.  Place your cursor in a field and press F1 to access online help for that field.  Place your cursor outside of any field, and press F1 to access online help at the program level.

F2

Apply Remaining Amount.  Automatically apply remaining document amount to the customer's oldest open invoices, applying the full amount when possible until the document amount has been fully applied.

F3

Exit.  Exit the page or program.

F4

Search.  Place your cursor in a searchable field and press F4 to access a lookup window or more advanced search screen.

F5

Refresh.  Refresh the screen and remove entered data.

F6

Next Customer.  Return to the Batch Detail screen to enter another customer.

F7

Sort by Invoice Number/Date.  Sort the list by invoice number or by invoice date.  The default is invoice number.

F9

Comments.  Advance to Customer Collection Comment Inquiry.

F10

Write.  Complete the payment application and return to the Cash Receipts - Batch Detail screen.

F11

Job.  Displays a second line of detail for each invoice showing the job location and PO number.

F12

Cancel/Previous.  Exit the program or move back a screen.

F13 (Shift + F1)

Toggle Sum.  Add a filter above the Invoice Number column.

F14 (Shift + F2)

ROA.  Access the Cash Receipts - Create ROA Location popup window to apply the remaining amount to the customer's account without referencing a specific invoice.

F17 (Shift + F5)

Top.  Return directly to the top of the invoice list.

F18 (Shift + F6)

Bottom.  Advance directly to the bottom of the invoice list.

F21 (Shift + F9)

Filter Job/PO Number.  After pressing F11, toggle the filters above the columns from invoice number, date, status, etc., to job location and PO number.

F23 (Shift + F11)

More Options.  Display more options at the top of the screen.

F24 (Shift + F12)

More.  Display more available function keys for the program.
