A/R Bad Debt Recognition - Adjustment

Description:

Use this screen to adjust one or more A/R invoices for bad debt recognition.  This option moves invoice amounts from A/R Trade to a bad debt account until the amount is written off.  The invoice remains in aging, and the customer record is set to Bad Debt status.

 

Enter the bad debt recognition G/L account in the Default System G/L Values Maintenance program.

Navigation

Access this screen by entering a customer number or name on the A/R Bad Debt Recognition - Launch screen.  Use the PO number filter and the filters above the columns to focus the list on the invoices you want to review and select for bad debt recognition.  Use the various options and function keys to review information about the listed invoices before making adjustments.  Option 1 selects the invoices for bad debt recognition, and pressing F10 twice processes the selected invoices.

Options

Option

Description

1

Select.  Enter 1 in the Option field to select the invoice for bad debt recognition.  Press F2 to select all invoices at once.

Display.  Enter 5 in the O (Option) field to advance to the Display Contract Customer Information screen and review details of the rental contract/invoice.

Reprint.  Enter 6 in the O (Option) field to reprint the customer invoice.

Fax/E-mail.  Enter 7 in the O (Option) field to open the Fax/E-mail Window and send a fax or an e-mail to the customer regarding that invoice.

G/L Journal.  Enter 8 in the O (Option) field to advance to the Invoice G/L Journal Transaction Inquiry program.

Print Labels.  Enter 9 in the O (Option) field to print invoice label stickers for that invoice.

 

Fields

Status

Displays the current status of the customer.  Valid status codes include:

 

Total  amount

Displays the total amount of the customer's invoices.

 

Customer number

Displays the number and name of the customer.

 

Phone

Displays the customer's main phone number.

 

Currency

Displays the code of the currency in which the invoices balances are displayed.

 

Purchase Order Number

Enter a purchase order number for which you want to review associated invoices.

Invoices List

 

Invoice Number

Displays the number of the invoice, including the sequence number that indicates the number of transactions posted against the original contract.

 

Invoice Date

Displays the date the invoice was created.

 

Due Date

Displays the date the invoice is due to be paid.

 

Lettrage Number

If you are using the lettrage accounting features, this field displays the lettrage number associated with the invoice.

 

Job Location

Displays the location of the customer job associated with the invoice.

 

Location

Displays the location that created the invoice.

 

Status

Displays the current status of the invoice such as OP-Open or PD-Paid.

 

Type

Displays the type of the invoice.  Valid types include:

 

Balance

Displays the current balance owed on the invoice.  This field is blank if nothing is owed.

 

Payment/Adjustment

Displays the amount of payments or adjustments made against the invoice.

 

Original Amount

Displays the amount that was originally on the invoice.

 

Function Keys

Description

F1

Help.  Place your cursor in a field and press F1 to access online help for that field.  Place your cursor outside of any field, and press F1 to access online help at the program level.

F2

Select All.  Select all of the listed invoices to process for bad debt recognition.

F3

Exit.  Exit the page or program.

F4

Search.  Place your cursor in a searchable field and press F4 to access a lookup window or more advanced search screen.

F10

Process.  Process bad debt recognition for the selected invoices.

F11

Detail.  Hide or display a second line of detail for each invoice.

F12

Cancel/Previous.  Exit the program or move back a screen.

F13 (Shift + F1)

Payment History.  For future use.

F15 (Shift + F3)

Sales History.  For future use.

F16 (Shift + F4)

Invoice Number/Date.  Toggle the list from sorting by invoice number to by invoice date.

F21 (Shift + F9)

PO Number/Job/Org.  For future use.
