Create/Update Rental - Launch

Description:

Use this option to launch the program to create or update a rental contract and sell accessory items.  After entry, all related master files are updated to indicate that the equipmentItem such as a drill, crane, truck, or backhoe that is rented or sold. is out on rent.  You can use a function key to access a reservation or a quote and convert it to a rental contract.  The system will automatically cycle bill each contract as specified (for example, every 28 days, every 30 days, on a calendar day, or weekly).  You can also specify to never bill the contract if you want to later run demand billing for it.

 

You can enter rental rates for each piece of equipment; use the defaulted rental rates; select discounted contract price rental rates; or leave the defaulted rental rates and have the system allocate the rental revenue based on a specified amount entered on the last screen of the contract.

 

With the appropriate security authorization, you can override inactive customers or customers who are over their credit limit for a single transaction.

Navigation

Access this program from the Operations menu.  If your system is set up to require a user name and password to use this program, enter that information first.

 

If you are creating a rental contract, enter the customer number or name (for charge account customers) or the driver's license state and number (for cash customers) for the rental contract.  Optionally, you can enter an estimated return date.  If you don't enter it on this screen, it can be entered on the Customer Information screen.

 

If you are creating a rental contract for a charge customer who requires a job number for all transactions, the next screen in the sequence is the Job Selection screen.  If you are creating a rental contract for a cash customer, the next screen in the sequence is the Customer Information screen.  If you enter an existing cash customer, their identifying information displays on the screen.  If you enter a new cash customer, you are prompted to enter their identifying information.

 

If you are updating a rental contract, enter either the contract number you want to update or the equipment number on the rental contract that needs to be updated.

Fields

Customer number or name

If you are creating a rental contract for a charge account customer, enter the account number or the name (or the Search Word) of the charge customer.  If you do not know the name or the number, press F4 while in this field to access Customer Search.

 

If you know the first letter of the customer's name, type it in the field and press Enter to access Customer Search and display a list of customers whose names (first or last) contain that letter.  For example, type H and press Enter and the list in Customer Search would show both Baker Hardware and Hillcrest Electric.  The list would then continue with customers whose names started with the subsequent letters of the alphabet such as I and J in our example.

 

Driver's license state

If you are creating a rental contract for a cash customer, enter the two-letter abbreviation for the state on the customer's driver's license.

 

Driver's license number

If you are creating a rental contract for a cash customer, enter the number from their driver's license.

 

Estimated return

If applicable, enter the estimated date and time of return of the equipment on the rental contract.  This information feeds the Availability Calendar.

 

Start rental

Enter the date and time for the start of the rental.  The default is the system date, but it can be changed.  You can use control record DFTTIM to set a specific start rental time, or the default is the system time.
