Create/Update Rental Reservation/Quote - Launch

Description:

If control record USEAPV is set to Y, users can only enter quotes through this program.  Reservations cannot be entered.  A quote must first be entered and approved and then converted to a reservation.

 

 

Use this screen to launch the Create/Update Rental Reservation/Quote program where you can create a reservation or a quote for the rental of equipment.  A reservation can be converted to a rental contract.  A quote can be converted to a reservation or a rental contract.

 

Inventory listed on a quote is not committed until the quote has been converted to a reservation or a rental contract.

 

The main difference between a rental reservation (or a quote) and a rental contract is that you select equipment for the reservation/quote by category/class rather than by individual pieces of equipment.

Navigation

Access this program from the Operations menu.  If your system is set up to require a user name and password to use this program, enter that information first.

 

This is the first screen in the Create/Update Rental Reservation/Quote program.  Indicate whether you are entering a reservation or a quote.  Next, enter either the customer number or name (for charge account customers) or the driver's license state and number (for cash customers) for the reservation/quote.  Optionally, you can enter an estimated return date and a start rental date if they are known.  If you don't enter it on this screen, it can be entered on the Customer Information screen.

 

If you are creating a rental reservation/quote for a charge customer who requires a job number for all transactions, the next screen in the sequence is the Job Selection screen.  If you are creating a reservation/quote for a cash customer, the next screen in the sequence is the Customer Information screen.  If you enter an existing cash customer, their identifying information displays on the screen.  If you enter a new cash customer, you are prompted to enter their identifying information.

 

If you are updating a rental reservation/quote, enter your password, and then enter the reservation/quote number you want to update.

Fields

Reservation or Quote

Indicate whether you are entering a rental reservation (R) or a quote (Q).

 

Customer Number or Name

If you are creating a rental reservation/quote for a charge account customer, enter the account number or the name (or the Search Word) of the charge customer.  If you do not know the name or the number, press F4 while in this field to access Customer Search.

 

If you know the first letter of the customer's name, type it in the field and press Enter to access Customer Search and display a list of customers whose names (first or last) contain that letter.  For example, type H and press Enter and the list in Customer Search would show both Baker Hardware and Hillcrest Electric.  The list would then continue with customers whose names started with the subsequent letters of the alphabet such as I and J in our example.

Driver's License State

If you are creating a rental reservation/quote for a cash customer, enter the two-letter abbreviation for the state on the customer's driver's license.

 

Driver's License Number

If you are creating a rental reservation/quote for a cash customer, enter the number from their driver's license.

 

Credit Application Number

This field is only available when you press F7 to enter a reservation by credit application.  Enter the number of the credit application to put on the reservation, or press F4 to search for it.

 

Estimated Return Date

If applicable, enter the estimated date of return of the equipment if it were to be rented on an actual contract.  This information feeds the Availability Calendar.

 

Estimated Return Time

Enter the estimated time of return of the equipment.

 

Start Rental Date

If you know it, enter the date for the start of the actual rental of the equipment.  The default is the system date, but it can be changed.

 

Start Rental Time

Enter the time for the start of the actual rental of the equipment.   You can use control record DFTTIM to set a specific start rental time, or the default time is the system time.

Help.  Place your cursor in a field and press F1 to access online help for that field.  Place your cursor outside of any field, and press F1 to access online help at the program level.

F3

Exit.  Exit the page or program.

F4

Customer Search.  Place your cursor in the Customer number or name field and press F4 to access Customer Search.

F5

Refresh.  Refresh the screen and remove entered data.

F7

By Credit Application.  Access the Customer Credit Application Search and select an application to bring into the quote.

F8

Read Card.  Use this function key if you have a driver's license card reader and want to access the Driver License Card Swipe screen.

F9

Opportunity.  Advance to the Opportunity Inquiry screen to review existing opportunities imported from a 3rd-party package and select one for a reservation or quote.

F14 (Shift + F2)

Clone Reservation.  Advance to the Clone Reservation/Quote Selection screen and enter a reservation or quote to clone.

F24 (Shift + F12)

More Keys.  Display more available function keys for the program.
