Use this screen in conjunction with the Billing 2 screen to make settings related to rental rate billing at this location.

Access this screen after the System Location Maintenance - Defaults screen as you enter through the program, or by entering option 7 for a location on the System Location Maintenance - Selection screen. Enter settings related to rental rate billing for the location, and then press Enter twice to advance to the next screen.

Displays the company in which the location is set up.
Displays the location code.
Displays the name of the branch/location.
Enter the number by which the monthly rental rate is divided to determine the daily prorated rate.
Enter the number by which the weekly rental rate is divided to determine the daily prorated rate.
Enter the number by which the daily rental rate is divided to determine the hourly prorated rate.
Indicate whether this location prorates the rental rates on a daily basis after one month of rental.
Indicate whether this location prorates the rental rates on a daily basis after one week of rental.
Indicate whether this location prorates the rental rates on an hourly basis after one month of rental.
Indicate whether this location prorates the rental rates on an hourly basis after one week of rental.
Indicate whether this location prorates the rental rates on an hourly basis after one day of rental.
If any of the Pro-rate Hours after... fields are set to Y, enter Y here to indicate that the prorated hours should be billed at the hourly rate. Enter N to indicate that the prorated hours should be billed at the daily prorated rate.

Monthly Grace Period in Minutes
For a monthly rental, enter the number of minutes allowed after the equipment is due back before the location begins charging overtime.
Weekly Grace Period in Minutes
For a weekly rental, enter the number of minutes allowed after the equipment is due back before the location begins charging overtime.
For a daily rental, enter the number of minutes allowed after the equipment is due back before the location begins charging overtime.
Same Day Grace Period in Minutes
For a one-day rental, enter the number of minutes allowed after the equipment is due back before the location begins charging overtime.
Bill if Grace Period is Exceeded
Indicate whether this location bills customers who have exceeded the set grace periods. Enter Y to bill overtime charges as calculated from the actual due time, or enter N to bill overtime charges from the end of the grace period.
Bill Overtime in Minute Increments of
Enter the number of minutes in which overtime is billed. In other words, if you enter 30, overtime charges are calculated after each 30 minutes that the equipment is returned late.
Calculate Excess Meter Usage on Rental Returns
Indicate whether the location calculates excess meter usage when rental equipment is returned.
Calculate Excess Meter Usage on Cycle Bills
Indicate whether the location calculates excess meter usage when a rental contract is cycle billed.
If you
want to calculate excess meter usage/overtime charges on cycle bills,
the equipment either needs to be tracked via a GPS device with regular
meter reports written to EQPATHFL, or the equipment’s meter reading needs
to be updated via Equipment Status Change (1, 53, 22), which also writes
to the same file. See control record CHGEO1 for more information.
Number of Hours Per Day Before Charge
Displays the number of hours per day for a single shift that equipment can be out on rent before excess meter charges are applied. Press F17 (Shift + F5) to see more details.
Number of Hours Per Week Before Charge
Displays the number of hours per week for a single shift that equipment can be out on rent before excess meter charges are applied. Press F17 (Shift + F5) to see more details.
Number of Hours Per Month Before Charge
Displays the number of hours per month for a single shift that equipment can be out on rent before excess meter charges are applied. Press F17 (Shift + F5) to see more details.
Indicate whether to increase the excess meter charge by the appropriate shift multiplier. Enter Y to have the system calculate the excess meter charge as normal, and then apply the shift multiplier to increase the charge. Enter N to not apply the shift multiplier to the excess meter charge calculation.
Use F17-Additional Meter to enter shift
multipliers by meter type.
Indicate whether the location charges for rentals on Saturdays. Enter Y if Saturdays are subtracted from rental charges. Enter N if Saturdays are included in rental charges.
Indicate whether the location charges for rentals on Sundays. Enter Y if Sundays are subtracted from rental charges. Enter N if Sundays are included in rental charges.
Subtract Saturday/Sunday After Cycle
Indicate whether the location charges for rentals on Saturdays and Sundays after a contract's first cycle bill.
Indicate whether the location uses weekly rental rates when prorating contracts after their first cycle bills.
Enter the code that represents the method used for calculating overtime on rentals. Valid codes are:
Blank or D - The location calculates overtime (excess meter charges) based on an 8-hour day.
H - The location calculates overtime (excess meter charges) by extending the excess hours by the hourly rental rate.
Enter Y to allow the Shift field on the Create Rental - Equipment Detail screen to take entries for shift differential. Valid shift differential codes are:
S - Single shift billing on rental contracts
D - Double shift billing on rental contracts
T - Triple shift billing on rental contracts
Enter a code to indicate how double and triple shifts are used when calculating excess meter charges. Valid codes are:
N
- True double and triple shifts are NOT used. The calculated
rate used for excess meter charges, which is a daily, weekly, or monthly
rate, is divided by the Allowed/Free
Hours setting for that rate to yield an hourly value. Then
this value is extended by the count of excess hours found to result
in an excess meter charge amount.
This acts like the Single shift (S) setting with an implied differential
of 1.0.
Y
- True double and triple shifts ARE used. The system makes the
calculations as if the code was set to N, and then it multiplies the
results by 0.5, and adds that to the excess meter charges.
T
- True double and triple shifts ARE used. The system makes the
calculations as if the code was set to N, and then it multiplies the
results by 0.65, and adds that to the excess meter charges.
C
- True double and triple shifts ARE used. This code causes the
calculation to stop at double the maximum rate when the excess meter
charges calculation meets the requirements of the Y
setting.
In other words, the excess meter charges are capped when they are equal
to the rental amount, so that the rental amount plus the excess meter
charges does not exceed twice the rental amount.
D
- True double and triple shifts ARE used. This code causes the
calculation to stop at double the maximum rate when the excess meter
charges calculation meets the requirements of the N
setting.
In other words, the excess meter charges are capped when they are equal
to the rental amount, so that the rental amount plus the excess meter
charges does not exceed twice the rental amount.
Prompt Number of Days for Rental Charges
Indicate whether a field should be available when creating a rental contract that allows for the entry of the number of days to charge rental if equipment is returned by the entered due date and time. For example, a customer rents chairs Wednesday afternoon for use on Thursday, but cannot return them until Friday morning. If the field is available, you can enter 1 as the number of days to charge rent. If the chairs are not returned by the due date and time, the contract reverts to the normal rental rates.
Number of Days in the Month (Rental Purchase)
Enter the number of days that equal a month for rental-purchase billing.
