Use this program to enter or update rental rates by location and by category/classTwo-part classification for individualized and bulk equipment. Rental rates are entered by category/class, and the ID number for bulk items is the category/class ID.. These rates are used during rental contract entry, unless rate discounts have been set up for a customer, customer and job, category/class, or contract price list, and any of those entities are on the rental contract.

Access this screen by entering at least a category/class on the Equipment Rental Rate Maintenance - Launch screen. Enter hourly, daily, weekly, and monthly rental rates for the equipment in the specified category/class. You can also enter discount percent limits for those same time frames.

If applicable, this field displays the location you entered on the first screen.
Displays the category/class ID and description you entered on the first screen.
Enter the currency in which you are entering the rental rates.
If applicable, enter the charge for each unit used if the category/class master record or the equipment master record have a Mile Code of M or an Increment Use Code of U.
Enter the rate charged per hour for equipment in this category/class if the equipment is out on rent beyond the setting in the Number of hours for minimum field, but less than the number of hours needed to reach the full daily rate.
Enter the number of hours a customer can rent the equipment in this category/class and still be charged the minimum rate.
Enter the minimum rate charged per rental contract for equipment in this category/class. This works in conjunction with the setting in the number of hours for minimum field. Once that number has been reached, the customer is charged the hourly rate until they reach the number of hours needed to be charged the daily rate.

Enter the rate charged for a 24-hour period for equipment in this category/class. Partial days can be charged a prorated amount based on the Pro-rate hours after setting in the System Location File.
Enter the rate charged per week for equipment in this category/class. Partial weeks can be charged a prorated amount based on the Pro-rate days/hours after settings in the System Location File. The number of days in a week are also defined in the System Location File.
Enter the rate charged per month for equipment in this category/class. Partial months can be charged a prorated amount based on the Pro-rate days/hours after settings in the System Location File. The number of days in a month are defined by the Cycle Bill code assigned to the rental contract.
If applicable, enter the amount suggested for deposit on cash customer rental contracts for equipment in this category/class.
Enter the percent to apply to these rental rates to determine the damage waiverInsurance coverage for physical damage to rented equipment. amount for rental contracts for equipment in this category/class.
If you do not enter a damage waiver percent, enter the amount to charge per day for damage waiver for equipment in this category/class.
If you do not enter a damage waiver percent, enter the amount to charge per week for damage waiver for equipment in this category/class.
If you do not enter a damage waiver percent, enter the amount to charge per month for damage waiver for equipment in this category/class.

Indicate if these rental rates can be discounted on a rental contract.
Indicate if rental of equipment in this category/class should be included on the sales commission report.
Indicate if rental of equipment in this category/class qualifies for special weekend rates as defined in the System Location File.
Indicate if taxes are charged on these rental rates. Taxes are not charged if the customer master record indicates that the customer is exempt from taxes on rentals.
If you are using Sequel or Showcase Vista to create a rate book, enter the page number where these rental rates are to be located in that book.

The settings
for these fields work in conjunction with the setting for the Limit
Discount Rates field in control record NXTAP1.
If that field is set to Y,
and the rate entered on a rental contract exceeds these limits, manager
approval is required before the contract can be written.
