Use this screen to modify specific information on a proforma invoiceDraft or suspense invoice that looks like an actual invoice, but the customer is not billed and accounts receivable is not affected..

Navigation

Access this screen by entering 2 in the Option field for a proforma invoice on the Manage Proforma Invoices screen.  Make necessary modifications to the invoice, and then press Enter.

Options

Description

Edit Line Comments.  Enter 2 in the Option field to open the Line Item Comments popup window where you enter comments for the line items on the proforma invoice.

 

Fields

Invoice Number

Displays the number of the proforma invoice you are editing.

 

Job Location

Enter or accept the location associated with the job on the contract.

 

Job Number

Enter or accept the number of the job on the contract.

 

PO Number

Enter or accept the purchase order number on the contract.

 

Signature

Enter the name of the person who signed for the equipment.

 

Return Name

Enter the name of the person who returned the equipment.

 

Ordered By

Enter the name of the person who placed the rental order.

 

Use Code

Indicate whether the Use Code is used on this proforma invoice.  See control records USECOD and MANDSC for more information on the Use Code.

 

Territory

If there is a territory assigned to the selected job, that territory number displays, but it can be changed.  If the selected job does not have a territory assigned, the information defaults from the customer master record, but it can be changed.

 

Sales Representative

If applicable, enter the sales representative you want to assign to this contract.  If there is a sales representative assigned to the selected job, that representative's number displays, but it can be changed.  If the selected job does not have a sales representative assigned, the information defaults from the customer master record, but it can be changed.

 

Equipment

Displays the number of the equipment that was rented on the contract.

 

Quantity

Displays the quantity of equipment rented on the contract.

 

Description

Displays the description of the equipment rented on the contract.

 

Amount

Enter or accept the rental amount for the equipment.

 

Excess

If applicable, this field displays the amount of excess hours charges for the rented equipment.

Pickup/Delivery

 

Pickup

Indicate if you will pick up the rented equipment at the customer job location.

 

Pickup By

If the equipment is picked up, enter the name of the driver who will pick it up.

 

Pickup Code

The code that prints on the invoice where there are pickup charges.  Press F4 in this field to find and select a specific shipper/carrier for the pickup.  Once selected, the carrier's name replaces the Pickup Code in the field.

 

Pickup Miles

Enter or accept the number of miles between your location and the pickup location.

 

Pickup Amount

The amount you want to charge for pickup.  This amount is billed to the customer at the time of the first invoice, which could be the first cycle bill or the first return.  You can leave this field blank now and fill it in when you process an equipment return.

 

Delivery

Indicate if you are delivering the rented equipment to the customer job location.

 

Delivery By

If the equipment is delivered, enter the name of the driver who will deliver it.

 

Delivery Code

The code that prints on the invoice when there are delivery charges.  Press F4 in this field to find and select a specific shipper/carrier for the delivery.  Once selected, the carrier's name replaces the Delivery Code in the field.

 

Delivery Miles

Enter or accept the number of miles between your location and the delivery location.

 

Delivery Amount

The amount you want to charge for delivery.  This amount is billed to the customer at the time of the first invoice, which could be the first cycle bill or the first return.

 

Sales/Miscellaneous

 

Item number

Enter the unique number assigned to the sales item or miscellaneous charge item that you want to add to the contract.

 

Quantity

Enter or change the quantity for the sales item, miscellaneous charge item, or the suggested item.

 

Unit of Measure

Accept or change the unit of measure for the sales item or miscellaneous charge item.

 

Description

Displays the description of the sales item, miscellaneous charge item, or the suggested item.

 

Price

Enter the price (amount to be charged) for the sales item or miscellaneous charge item.

 

Damage Waiver

Displays the total amount of damage waiver to charge on the contract.

 

Sales Tax

Displays the total amount of sales tax calculated for the contract.

 

Total Invoice

Displays the total amount of the entire contract.

F1

Help.  Place your cursor in a field and press F1 to access online help for that field.  Place your cursor outside of any field, and press F1 to access online help at the program level.

F3

Exit.  Exit the page or program.

F4

Search.  Place your cursor in a searchable field and press F4 to access a lookup window or more advanced search screen.

F12

Cancel/Previous.  Exit the program or move back a screen.
