Security Program Access Maintenance

Description:

Use this screen to set a user up with access to RentalMan programs and to give the user security authorization codes that allow him/her to perform certain tasks in the system.

Navigation

Access this screen by entering a valid user name on the Security Program Access Maintenance - Launch screen.  If applicable, place the user into a security group profile, which gives him/her access to the programs to which that security group has access.  Or use the fields below to give the user access to RentalMan programs and provide him/her with security authorization codes.

 

Example 1:

If the user should have access to ALL RentalMan programs, simply enter *** in the first field.  The three asterisks or wildcards indicate that the user has full access to all programs in the system.  If the user should have access to ALL RentalMan programs EXCEPT Create PO, you would enter *** in the first field to give the user access to all programs, and then in the field below it, you would enter J02 to indicate an exception for the Create PO program.  Create PO appears as option 2 on the Purchasing (POMNUO) menu, and the internal system code for that menu is J; hence, the code of J02 for option 2 on the J (POMNUO) menu.

 

Example 2:

If the user should only have access to the Purchasing menu, simply enter J** in the first field -- J is the security code for the Purchasing menu, and the asterisks indicate that the user has full access to all programs on that menu.  If the user should have access to ALL programs on the Purchasing menu AND just the Create Rental program from the Operations menu, you would enter J** in the first field, and then enter A01 in the next field.  The internal security code for the Operations main menu (RAMNUO) is A, and Create Rental is the first option on that menu; hence, the code of A01.

 

Typically, any security code that follows a code with asterisks indicates an exception to the asterisk/wildcard condition, as in our first example.  The user has access to ALL RentalMan programs except the Create PO program.  However, if the program represented by the security code that follows the code with the asterisks is not a part of the all-inclusive asterisk code (as in our second example), that security code is in addition to the asterisk/wildcard condition.  In other words, the Create Rental program is not found on the Purchasing menu, so the user gets access to all programs on the Purchasing menu AND access to the Create Rental program on the Operations menu.

 

To determine the security code for a menu or program in RentalMan, press F4 at any of the security code fields and search by M=Menu.  Note that security can be set at the function key level as well, and you can use the Search window to search for security authorization codes -- Z codes.

Fields

User

Displays the user ID for which you are setting up security and program access.

 

Name

Enter or accept the full name of the user.

 

Department Number

If applicable, enter the number of the department where the employee works.

 

Employee Number

If applicable, enter the number assigned to the employee outside of RentalMan.

 

Group Profile

If this user belongs to a group for security purposes, enter the name of the group profile.  Group profiles are set up in this program by entering the name of the group in the User field on the Launch screen rather than a user name, and then entering all the security codes for that group on this screen and saving the record.

 

Use this profile as a base

If you want the user to have the access that a particular group has and additional security that the group does not have, enter the name of that base group profile, and then enter the additional security in the fields below.

 

Security Code Fields

Enter the security codes applicable to the access you want to give this user.  Enter menu and program codes, function key codes, and special security Z codeSpecial security authorization code entered in a user's security profile to provide them with the ability to perform certain functions in the system.s.  Press F4 to search for codes by Menu, Function key, or Z codes.  The asterisk is a wildcard that can be used in the codes to give the user access to all programs within a menu.  See the examples in the Navigation section above.

F1

Help.  Place your cursor in a field and press F1 to access online help for that field.  Place your cursor outside of any field, and press F1 to access online help at the program level.

F3

Exit.  Exit the page or program.

F4

Show Menu Codes.  Access the Security Code Search popup window.

F5

Refresh.  Refresh the screen and remove entered data.

F6

Comment.  Open the Authorization Comments popup window and add comments about this user's security authorization settings.

F7

Audit Inquiry.  Access an audit trail of changes that have been made to the user's security settings.

F12

Cancel/Previous.  Exit the program or move back a screen.

F23 (Shift + F11)

Delete.  Press twice to delete the security program access record.

F24 (Shift + F12)

More.  Display more available function keys for the program.
