Use this screen to enter information about one or more prompt chargeCharge for a miscellaneous item such as fuel, which the user is prompted to enter when equipment is returned or exchanged.s associated with the category/class or a piece of equipment.  Multiple prompt charges can also be added to equipment during a trade-in in the Equipment Sales program; in the Sales to Rental Transfer program; and in the Receipts program when receiving equipment.

 

This information is used when the equipment is returned or exchanged via Full Return, Partial Return, or Equipment Exchange.

Access this screen by pressing F17 (Shift + F5) on the Equipment Maintenance screen or on the Category/Class Maintenance screen.  Enter information about one or more prompt chargeCharge for a miscellaneous item such as fuel, which the user is prompted to enter when equipment is returned or exchanged.s associated with the category/class or piece of equipment, and then press Enter to return to the previous screen.

 

Fields

Category

Displays the ID of the category.  If prompt chargeCharge for a miscellaneous item such as fuel, which the user is prompted to enter when equipment is returned or exchanged.s have been set up for the category/class, they are displayed, but they can be changed specifically for the piece of equipment.

 

Class

Displays the ID of the class.

 

Equipment Number

If you are accessing this screen from Equipment Maintenance, this field displays the number assigned to the piece of equipment.  If prompt charges exist for the equipment's category/class, any changes made in this screen will be for this piece of equipment only.

 

Sales Item Number

Enter the number of the miscellaneous charge item being used for the prompt charge.  If you do not know the number, press F4 to search for it.

 

Stock Class

Enter or accept the stock class for the sales item.  The stock class is defaulted when you enter or select the sales item number, but you can change it in cases where the same item number is in multiple stock classes.

 

Allow Gauge

Indicate whether the user can enter gauge information for the prompt charge during equipment return or exchange.  This is often used in conjunction with prompt charges that are for fuel/gasoline.  If this is set to N, do not complete the Capacity and Decimal Places fields.

 

Example: The prompt charge is for fuel.  Set Allow Gauge to Y, and then enter a Capacity of 100.  When the equipment is returned, the user can enter a percentage for the gauge reading (for example, the tank is half full, so 50% is entered), and based on the capacity of the fuel tank, the system calculates the quantity of fuel used and charges the customer accordingly.

 

Capacity

If the Allow Gauge field is set to Y, enter the capacity of the tank/container associated with this prompt charge.  This amount is multiplied by the percentage entered for the gauge when the equipment is returned to determine the amount of fuel used.

 

Decimal Places

Enter the number of decimal places to which the capacity can be entered.

 

Sequence Number

Enter or accept the number for the sequence in which the prompt charge appears on the returns screen.  If you need to insert a prompt charge between existing charges, enter a sequence number that falls in between those sequence numbers, and the program automatically resequences all the prompt charges by increments of 5.

Help.  Place your cursor in a field and press F1 to access online help for that field.  Place your cursor outside of any field, and press F1 to access online help at the program level.

F3

Exit.  Exit the page or program.

F4

Search.  Place your cursor in a searchable field and press F4 to access a lookup window or more advanced search screen.

F5

Refresh.  Refresh the screen and remove entered data.

F12

Cancel/Previous.  Exit the program or move back a screen.
