Truck Dispatch Display

Description:

Use this screen to review a list of truck dispatches for a location, a district, a region, an area, or all locations.  A setting in control record RATRKT determines which truck dispatches are listed.  From this screen you can access an individual dispatch and update information on the dispatch or update its status.

 

If the text color of the job location for a dispatch record is pink, the record contains comments, which you can view by displaying the record (Option 5).  If the dispatch status is * (In Progress), the record is displayed in red.  If the dispatch status is P (Priority), the record is displayed in yellow.  If the dispatch status is C (Complete), the record is displayed in blue.

Navigation

Access this screen by pressing F16 (Shift + F4) from any menu, or selecting Truck Dispatch from the Additional Operations menu.  Use the filters and delimiters at the top of the screen under the Options section to limit the number of records in the truck dispatch list.

 

 For example, enter From and To dates of 10/01/11 and 10/31/11 and a Category/ClassTwo-part classification for individualized and bulk equipment. Rental rates are entered by category/class, and the ID number for bulk items is the category/class ID. of 010/3100 to obtain a list of truck dispatches for backhoe equipment in the month of October.

 

Also, in the top right corner of the screen, you can enter an individual invoice number to limit the display to truck dispatches for that invoice only.  If the Inv# clears other selects field in control record RATRKA is set to N, the entered invoice number works in conjunction with all other entered filters to limit records for that invoice.  If that control record field is set to Y, using the invoice field clears all other filters and shows truck dispatches related to the invoice entered, irrespective of the other filters.

 

Use F7 and F8 respectively, to toggle the Location Mode and the Delimiters for viewing the dispatch list.  Press F7 repeatedly to change the Location Mode to view dispatches for a location, a district, a region, or all locations.  Press F8 to change how you view the list, which also provides a different set of delimiters for narrowing the list.

Change.  Enter 2 in the O (Option) field to access the truck dispatch record in the Truck Dispatch Entry screen where you can make changes.

Copy.  Enter 3 in the O (Option) field to advance to the Truck Dispatch Entry screen in ADD mode.  The truck dispatch you selected is populated into the screen, and you can press Enter to add a copy of the record.

Delete.  Enter 4 in the O (Option) field to delete the selected dispatch record.  Doing so displays the record in the Truck Dispatch Entry screen, and you must press F23 (Shift + F11) to complete the deletion.

Display.  Enter 5 in the O (Option) field to advance to the Truck Dispatch Entry screen in view-only mode and review the selected record.

Print.  Enter 6 in the O (Option) field to print the contract or order.

Rental.  Enter 7 in the O (Option) field to advance to the Rental Reservation Inquiry screen to review the reservation associated with the truck dispatch record.

Timer.  Enter 8 in the O (Option) field to access the Truck Dispatch Timer popup window to review or enter dispatch timing information.

A

Do Anytime.  Enter A in the O (Option) field to change the status of the selected dispatch record to Anytime.

C

Completed.  Enter C in the O (Option) field to change the status of the selected dispatch record to Complete.  Doing so advances you to the Truck Dispatch Entry screen where the status is populated, and you can enter information about the actual dispatch.

D

Deleted.  Enter D in the O (Option) field to delete the selected dispatch record.  Doing so displays the record in the Truck Dispatch Entry screen, and you must press F23 (Shift + F11) to complete the deletion.

*

In Progress.  Enter * in the O (Option) field to access the Truck Dispatch Timer popup window where the driver enters information about actual start time for the dispatch.

N

Sort by nearest.  Enter N in the O (Option) field to sort the dispatches starting with the delivery closest to the dispatching location.

W

Waiting.  Enter W in the O (Option) field to change the status of the dispatch record to Waiting.

S

Send email.  Enter S in the O (Option) field to access the Truck Dispatch E-mail popup window and create and send an email about the dispatch.

L

Lunch entry.  Enter L in the O (Option) field to advance to the Truck Dispatch Entry screen and create a lunch entry for the driver.

M

Transmit Medium Priority.  Applicable only when Qualcomm equipment tracking interface is set up.

H

Transmit/Change High Priority.  Applicable only when Qualcomm equipment tracking interface is set up.

Fields

Invoice number

Enter an invoice number to focus the truck dispatch display only on records related to that invoice.  This is typically the contract number followed by a 4-digit sequence number that increments from 0000 each time a transaction is processed against the contract.

 

 If the Inv# clears other selects field in control record RATRKA is set to N, the entered invoice number works in conjunction with all other entered filters to limit records for that invoice.  If that control record field is set to Y, using the invoice field clears all other filters and shows truck dispatches related to the invoice entered, irrespective of the other filters.

 

Open

Indicate whether you want to see open truck dispatches in the list.  The default setting is Y for Yes.

 

Posted

Indicate whether you want to see posted truck dispatches in the list.  The default setting is N for No.

 

From

Enter the start date for a range of dates for which you want to view truck dispatches.

 

To

Enter the end date for a range of dates for which you want to view truck dispatches.

 

Equipment Number

Enter an equipment number for which you want to view truck dispatches.

 

Category

Enter the code of a category for which you want to view truck dispatches.

 

Class

Enter the code of a class for which you want to view truck dispatches.

 

Expired Timer

Indicate whether you want to see truck dispatches with expired timer records (Y); with timer records that have not expired (N); or only dispatches with expired timer records (O).

 

Total Weight

Displays the total weight of all listed dispatches.

Status

Indicates the status of the dispatch.  Valid codes include:

Indicates the type of dispatch.  Valid types include:

 

Time

Displays the time of the delivery.

 

Date

Displays the date of the delivery.

 

Truck number

Enter the number of the truck used for delivery.

 

Load

Enter the designation of the load going out for delivery.

 

Load sequence

Enter the sequence in which this equipment was loaded.  This is helpful when one truck is making multiple deliveries, and the equipment must be loaded and off loaded in a particular sequence.

 

Equipment/Item description

Displays the description of the equipment or sales item.

 

Multiple Pieces of Equipment

Indicates if there is more than one piece of equipment on the truck dispatch.

 

Job Location

Displays a description of the job where the equipment is to be delivered.

 

Note

This is a user-defined field.  The codes for this field are created in the Default Codes program (code DN) in Cross Application Maintenance.

 

Location

Displays the location that created the truck dispatch.

Help.  Place your cursor in a field and press F1 to access online help for that field.  Place your cursor outside of any field, and press F1 to access online help at the program level.

Exit.  Exit the page or program.

F5

Refresh.  Refresh the screen and remove entered data.

F6

Add Request.  Advance to Truck Dispatch Entryto add a new dispatch record.

F7

Toggle Location.  Change the Location Mode to view dispatches for a location, a district, a region, or all locations.

F8

Toggle Delimiter.  Change how you view the list, which also provides a different set of delimiters (filters) for narrowing the list.

F9

Toggle Equipment number/description.  Toggle the display between showing the equipment description versus the equipment number.

F11

Detail.  Display more details about each dispatch.  Similar to F8, but the delimiters do not change.

F12

Cancel/Previous.  Exit the program or move back a screen.

F13 (Shift + F1)

Repeat Option.  Repeat the last option entered.

F14 (Shift + F2)

QUALCOMM/Transactions.  Applicable only when the Qualcomm equipment tracking interface is set up.

F15 (Shift + F3)

Automatically Sequence.  Automatically sequence the loading of the truck based on job location.

F16 (Shift + F4)

Sort.  Toggle the sorting of the list between time and job location.

F17 (Shift + F5)

Top/Bottom.  Press F17 to move to the top of the dispatch list.  Press F18 to move to the bottom of the dispatch list.

F18 (Shift + F6)

F19 (Shift + F7)

Print.  Print the displayed dispatch list.

F23 (Shift + F11)

More Options.  Display more options at the top of the screen.

F24 (Shift + F12)

More.  Display more available function keys for the program.
