Physical Count Sheets

Description:

Use this program to generate and print count sheets for sales items.  You can also clear count records from previous inventories and create new physical count records for the current inventory.

Navigation

Access this program from the Physical Inventory menu.  Select how you want to generate and print the count sheets, and then indicate whether you want to print items with zero quantity on hand and serialized items.  If applicable, enter the PME (parts, merchandise, equipment) codes to include or omit in this run.  This is useful if you want to run separate count sheets for the different kinds of items.

 

Depending on the report type you select, enter the appropriate range of records for the counts sheets, or leave those fields blank to generate count sheets for all records.

 

Indicate whether you want to clear count records from previous inventories and create new physical count records for the current inventory.  Also indicate if you want to print the count sheets once they are generated.  Press Enter to advance to the next screen.

Fields

Report Type

Select how to generate and print the count sheets.  The report type determines the sort order of the printed count sheets.  Your selection affects the field label for the From and To fields in the middle of the screen.

 

Print items with 0 quantity on hand

Indicate whether to print items on the count sheets that currently have zero quantity on hand in the system.

 

Serialized Items

Indicate whether to include (I) or exclude (E) serialized items on the count sheets.  You can also choose to generate and print count sheets only (O) for serialized items.

 

PME Codes (I/O)

If applicable, enter the PME (parts, merchandise, equipment) code or codes that you want to include or omit in this run.  If you want to generate and print count sheets for all types of items, leave these fields blank.  If you want to print count sheets by PME code, enter one PME code and indicate that you want to include (I) it, and then run the program again for another PME code, and so on.

 

If you choose to run this program multiple times to generate separate sets of count sheets by PME code, ensure that you enter Y in the Create Physical Count Records and the Clear all existing Count Records for location fields the first time you run the program.  Enter N in those fields for subsequent runs of the program.

If you want to generate and print count sheets for a range of records, enter the ending number or code for the range.  The field label for this range is determined by the Report Type you selected in the first field on this screen.

 

Currency Code

Enter the code for the currency in which you want monetary amounts to display on the count sheets.

 

Create Physical Count Records

Indicate whether you want to build the file that holds the data for the current physical inventory.

 

Clear All Existing Count Records for Location

Indicate whether to clear count records from the previous physical inventory.  Enter Y only once for this question.

 

Print Physical Count Sheets

Indicate whether you want to print the count sheets that are generated by the program.
